This Privacy Policy (“Policy”) describes how MyChurchAutomation (“MyChurchAutomation,” “we,” “us,” or “our”) collects, uses, stores, processes, and shares information when you access or use our website, platform, mobile app, and related services (“Services”). By accessing or using the Services, you acknowledge that you have read and understood this Policy.

If you do not agree to this Policy, you must not use the Services.

1.1 Information You Provide

You may provide us with personal information including, but not limited to:
(a) Name, email address, phone number, mailing address;
(b) Church or ministry affiliation information;
(c) Messages, prayer requests, uploaded media, notes, tags, or content recorded in the CRM;
(d) Billing and payment information (processed through third-party providers such as Stripe);
(e) Communication preferences;
(f) Any other information you voluntarily submit.

1.2 Information Collected Automatically

When you interact with the Services, we may automatically collect information such as:
(a) IP address, device identifiers, browser type, operating system;
(b) Usage data including pages viewed, features accessed, and timestamps;
(c) Log files, diagnostics, crash data;
(d) Cookies, pixels, and similar technologies.

1.3 Information From Third Parties

We may receive information about you from third-party sources including:
(a) Payment processors such as Stripe;
(b) Integrated platforms such as Facebook Messenger, email providers, or SMS gateways;
(c) Churches, ministries, or administrative users who add you to the system;
(d) HighLevel (our underlying software provider) as part of hosting or integration.


2. HOW WE USE YOUR INFORMATION

We use the information collected to operate, maintain, and enhance the Services. Uses include but are not limited to:

(a) Providing access to the CRM, church management tools, communication features, and automations;
(b) Processing payments through Stripe for subscriptions, giving, donations, or other transactions;
(c) Sending administrative notifications, system updates, receipts, alerts, or required communications;
(d) Facilitating email ministry campaigns, text messaging, follow-up workflows, or announcements initiated by your church;
(e) Improving the Services, diagnosing issues, and supporting operations;
(f) Detecting and preventing fraud, abuse, unlawful activity, or violations of our Terms of Service;
(g) Fulfilling legal obligations;
(h) Other purposes disclosed to you or permitted by law.

We do not sell your personal information.


3. PAYMENT PROCESSING & STRIPE

All financial transactions—such as subscription payments, online giving, donations, or purchases—are processed through Stripe, a third-party PCI-compliant payment processor.

(a) We do not store or have access to full credit card numbers.
(b) Stripe collects and processes payment information in accordance with its own Privacy Policy and Terms of Service.
(c) By submitting payment information, you authorize Stripe to process transactions on your behalf.
(d) Stripe may collect additional identifying information necessary for fraud prevention, tax compliance, or verification.

Your use of payment features constitutes agreement to Stripe’s policies.


4. HOW WE SHARE YOUR INFORMATION

We may share your information only as described below:

(a) HighLevel, our software infrastructure provider, to enable CRM functionality, hosting, and automations;
(b) Stripe, for payment processing;
(c) Service providers such as email delivery services, SMS gateways, analytics platforms, cloud storage, AI tools, or customer support systems;
(d) Your church or ministry administrators, if they manage your account;
(e) Legal authorities, if required by law, subpoena, or legal process;
(f) To protect rights, property, or safety of MyChurchAutomation or others;
(g) With your consent, where applicable.

We do not sell, lease, or rent personal information.


5. DATA SECURITY

We use reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.


6. DATA RETENTION

We retain personal information for as long as necessary to:
(a) provide the Services;
(b) comply with legal obligations;
(c) resolve disputes;
(d) enforce agreements;
(e) support ongoing church records.

If your church terminates its account, data handling will follow the retention rules outlined in our Terms of Service.


7. YOUR RIGHTS (INCLUDING GDPR & CALIFORNIA RIGHTS)

Depending on your jurisdiction (such as California or the European Union), you may have rights including:

(a) The right to access your personal information;
(b) The right to correct inaccurate information;
(c) The right to request deletion, when legally permissible;
(d) The right to restrict or object to processing;
(e) The right to data portability;
(f) The right to withdraw consent at any time;
(g) The right not to be discriminated against for exercising privacy rights.

8. CHILDREN’S PRIVACY

(b) enhance user experience;
